Who we are
The controller of your personal data is Property Architecture Ltd, registered in England and Wales, company number 17536132, registered office 128 City Road, London, United Kingdom, EC1V 2NX. We are registered with the Information Commissioner's Office (ICO). For anything about your data, email [email protected] or call 020 7131 9705.
What we collect
When you send the quote form, we receive:
- your name, email address and, if you give it, your phone number;
- the property postcode, the council and the service you choose;
- your project description and how you would like us to contact you;
- any files you attach (photos, existing drawings or a title plan), which may show the property and the people or details in them;
- the page you sent the form from and the time you sent it.
To protect the form from abuse, the server briefly uses your IP address to limit repeated requests. It is held in memory only and is not stored with your enquiry. If you message us on WhatsApp or call us, we receive the details you give us there.
Why we use it, and the lawful basis
- To reply to your enquiry and send a fixed quote. Lawful basis: taking steps at your request before entering into a contract (UK GDPR Article 6(1)(b)).
- To keep a record of enquiries and protect the form from misuse. Lawful basis: our legitimate interests in running and securing our business (Article 6(1)(f)).
- To measure how the website is used (Google Analytics), only if you accept analytics cookies. Lawful basis: your consent (Article 6(1)(a)), which you can withdraw at any time through Cookie settings at the foot of any page.
We do not use your details for marketing, and we do not sell them.
Who processes it for us
- Resend delivers the form to our inbox by email, from its EU (Ireland) region.
- Our hosting provider runs the server that receives the form, in the EU, behind Cloudflare, which protects and speeds up the website.
- Cloudflare R2 stores the files you attach, in a private storage area held in the EU. We reach them through private download links that expire.
- Our email provider stores the messages we receive.
- Google (Google Ireland Ltd and Google LLC) runs Google Analytics 4 for us if you accept analytics cookies. It receives the pages you view, your device and browser type, and an approximate location; never your name, email, phone number, postcode or what you type in our forms. Advertising features are off. Google may process this data in the United States under the UK Extension to the EU–US Data Privacy Framework.
Each acts on our instructions under a data processing agreement. Where a provider transfers data outside the UK, it relies on UK adequacy regulations or the UK International Data Transfer Addendum.
How long we keep it
We keep enquiries and their attachments for up to 24 months after our last contact, then delete them. Files you attach to the form are stored for up to 24 months and then deleted automatically. If you become a client, we keep project records for as long as the law and our professional insurance require.
Google Analytics data is kept for 14 months, then deleted by Google.
Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or transfer it to you or another organisation. Email [email protected]. We reply within one month.
If you are unhappy with how we have used your data, please tell us first. You can also complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, or 0303 123 1113.
Cookies
We use Google Analytics cookies only if you accept them, and no advertising cookies. See the cookie policy.
